New HCOM Enhancements-October 2011!

A number of new enhancements have been added to HCOM; available as of October 24, 2011.  See Eureka, Harvard’s learning management systems for detailed specifics.

Highlights of the new release:

  • Several changes to the Vendor Justification Form, including the ability to transmit different forms with mutiple vendors.  Users will no longer have to fill out the form if the sponsored amount is less than $5,000.
  • Approvers can now see and verify the vendor mailing address from the Approval screen.
  • Approvers can now view the completed Vendor Justification Form if needed.
  • Emails for price and quantity holds will now be delivered to the Final Approver.
  • Three new columns, Posted Invoice Amount, Balance and PO status,  have been added to the HCOM Purchase Order Summary Report.
  • A New HCOM Report, the Transaction Summary Report has been added to the Reporting tab.  This report displays PO details, Invoice details and Payment details all in one report.
  • Three new audit reports have been added to the HRVD^HCOM^Audit Reports responsibility:

    I. HCOM Auto Release of Price hold Report: lists invoices that were not placed on price hold because they were within the $9.99 price tolerance.

    II. HCOM Quantity Ord Hold Report: lists final approvers who were notified by e-mail for overbilling authorization due to Qty hold.

    III. HCOM Price Hold Report: lists final approvers who were notified by e-mail for overbilling authorization due to Price hold

In addition, HCOM Design & Implementation Managers will be hosting walk-in sessions on the new Procedure to Maintain Charge Accounts feature. Sessions will be held in Cambridge and Longwood. HCOM Shoppers and Approvers will be able to register for sessions next week on the HCOM iSite.

New HUBS Release

A new HUBS release will be taking place during the week of June 13.  Take a look at Eureka for new work instructions and job aids that will explain all of the details to budget tool users.

Update to Desktop Standards-Internet Explorer Version 8 now Recommended Browser

As reported in the April e-News, current Desktop Standards for University-wide administrative applications have been updated and contain the minimum and recommended hardware, software, and operating systems for use with University Financial Applications, the Harvard University Budgeting System (HUBS), PeopleSoft Human Resource Applications, CREW, GMAS, CAADS and Student Financial Systems.

Interenet Explorer is the supported browser for financial applications and the administrative applications mentioned above. The recommended version of Internet Explorer is now version 8.0.

Financial Systems Solutions (FSS) convened a cross-application testing group to test Windows 7 and Internet Explorer 8 with the applications. The group has prepared a document containing details for recommended browser settings in all of the above applications: Using Internet Explorer 8 and Windows 7 with Administrative Applications. It is strongly advised that all users and IT departments review this document when installing Windows 7 machines (Internet 8 comes bundled with Windows 7) and/or prior to installing and using Internet Explorer 8 with earlier versions of Windows operating systems with the applications named in the document.

Help! I Need a Report that Tells Me…

CREW users know there are many reports available, but unsure of what those reports are and what business purpose is served by the report.  This post will tell you where you can find more information about specific CREW reports.

The following report catalogs are available on ABLE:

Two new HCOM Enhancements!

As a result of last week’s FINDINI release, two new enhancements will make it easier for HCOM Approver’s to view and act on HCOM Requisitions.

1. The Notifications screen now appears on the homepage:   This enhancement shortens the time it takes to get to the list of Requisitions awaiting approval.HCOM

2. The Supplier site information has been added to the Approver’s screen.  Approvers can now view the site information in addition to the vendor name.

UPDATE: 2/22/2011: PIN enabled applications are back

Update 11:43 am: PIN applications are once again available.  It is recommended that you close down your web browser and re-open it before trying to connect to a PIN-enabled application.

Pease note that all PIN-enabled applications are currently unavailable.  This includes all financial and HR applications such as Oracle, PeopleSoft, GMAS, CREW, etc.

Updates will be sent as soon as more information is available.

Two New HCOM Online Training Demonstrations Available

On the heels of announcing the availability of online training for HCOM, CWD has announced two new online training courses:

Setting HCOM Preferences

The simulations give you the option of viewing a demonstration or trying out the functionality yourself to familiarize you with HCOM and how it is being used at the University.
